Sending infrastructure, set up properly before the first email goes out

We plan and configure the domains, mailboxes and DNS records your outbound depends on, then check every record so you start with a clean, authenticated setup.

How a sending setup fits together Illustrative
  1. Main domain yourcompany.com, kept for customers and invoices Protected
  2. Sending domains Separate, similar domains that redirect to your site Isolated risk
  3. Mailboxes Google Workspace or Microsoft 365, with real names and profiles Set up
  4. DNS records SPF, DKIM, DMARC and MX for every domain Verified
  5. Sending platform Instantly, Smartlead or Manyreach, with warm-up and limits Ready to send
Example structure. The number of domains and mailboxes depends on your planned volume; we plan it with you.

Outbound engine

When you need this

Infrastructure is the part of outbound nobody sees until it breaks. Getting it right at the start is far cheaper than repairing a damaged domain later.

  • You are about to start cold email and do not want to send from your main company domain
  • You need more sending capacity and want to add domains and mailboxes safely
  • Your DNS records were set up by different people over time and nobody is sure they are correct
  • You are moving between Google Workspace, Microsoft 365 or a sending platform and need records updated

Deliverables

What we set up

Scope is agreed in writing before work starts. You can take the whole list or only the parts you need.

  • Domain planHow many sending domains you need, how they relate to your brand, and where they redirect, based on your planned volume.
  • Mailbox setupMailboxes created and configured in Google Workspace or Microsoft 365, with names, signatures and profile details filled in.
  • SPF recordsOne valid SPF record per domain that lists only the services that really send for it, kept within the lookup limit.
  • DKIM signingDKIM keys generated in your mailbox provider, published in DNS and confirmed as signing outgoing mail.
  • DMARC policyA DMARC record with reporting, starting at a monitoring policy and with a plan for when to tighten it.
  • MX and redirectsMail routing so replies reach a real inbox, and web redirects so a curious prospect lands on your main site.
  • Warm-up and limitsA ramp-up plan and per-mailbox daily limits set in your sending platform, so volume grows gradually.
  • Setup recordA document listing every domain, mailbox and record we configured, so your team is not dependent on us.

Process

How the setup runs

You get a short update at each stage: what was done, what we found and what happens next.

  1. Plan

We agree target volume, sending platform and brand naming, then confirm what DNS and admin access we need.

  2. Configure

Domains, mailboxes and DNS records are set up in your accounts. You keep ownership of everything.

  3. Verify

Each record is checked with lookup tools and a live test message before any campaign is connected.

  4. Hand over

You receive the setup record and the warm-up schedule, plus a short walkthrough if you want one.

Tools

Platforms we use for this work

Green tags are tools we have used hands-on. The rest are platforms we support when they are already part of your stack. Listing a tool does not imply a partnership.

All supported platforms

Hands-on

  • Google Workspace
  • Microsoft 365
  • SPF · DKIM · DMARC · MX records
  • Instantly
  • Smartlead
  • Manyreach
  • GoHighLevel
  • Klaviyo
  • Mailchimp
  • RocketReach
  • ContactOut
  • Google Postmaster Tools
  • MXToolbox

Also supported

  • Cloudflare DNS
  • Domain registrars
  • Mailforge
  • Zapmail
  • InboxKit

Mailchimp, Klaviyo and GoHighLevel are listed because the domains they send from need correct SPF and DKIM too. They are used for opt-in email only, never for cold sends.

What infrastructure can and cannot do. Correct authentication is required by the major mailbox providers, but it does not by itself put mail in the inbox. Placement still depends on your list, your message, recipient engagement and each provider’s filters. We set up what is in your control and tell you plainly what is not.

Why not send cold email from our main domain?

If a cold campaign damages a domain’s reputation, every email from that domain can be affected, including invoices and replies to customers. Separate sending domains keep that risk away from your day-to-day email.

Who owns the domains and mailboxes?

You do. Domains are registered in your name or your company’s, and mailboxes sit in your own Google Workspace or Microsoft 365 account. We work with access you grant and can remove at any time.

How long before new mailboxes can send at full volume?

Configuration usually takes days, not weeks. New domains and mailboxes then need a gradual ramp-up before they carry a full daily load. We give you a schedule based on your platform and target volume rather than a fixed promise.

Do you buy domains and mailboxes for us?

We tell you exactly what to buy and why. Purchases are made in your accounts, with your approval, so billing and ownership stay with you.
