FAQs

Straight answers, no fine print

What people ask most before working with us: inbox placement, timelines, access, tools and how engagements run.

Working with us

What happens on the 30-minute call?

An introductory conversation about your goals, current challenges and the tools you use. We discuss possible approaches so you can decide whether working together makes sense. No preparation is needed and there is no obligation.

How is pricing worked out?

It depends on scope. After the call we send a written proposal with the deliverables and price, and no work starts until you have agreed it.

Do you offer one-off projects or ongoing management?

Both. Some clients want a correct setup they will run themselves; others want us to manage campaigns, monitor deliverability or maintain workflows month to month.

How do you communicate during a project?

Through short written updates at each stage, plus calls when a decision is needed. Updates say what changed, what we found and what happens next, in plain language.

Do you have case studies?

We publish real project examples only with the client’s permission and only with results we can verify. Until then, our service pages show clearly labelled example frameworks rather than invented outcomes. We are happy to walk you through our approach on a call.

Deliverability and outreach

Can you guarantee our emails will reach the inbox?

No, and be careful with anyone who does. Inbox placement depends on recipient engagement, sender reputation, list quality, message relevance and each provider’s filtering. We set up everything within your control correctly, monitor it and fix problems quickly.

Can you guarantee a number of leads or meetings?

No. Results depend on your market, offer, timing and list. We report what happens honestly and adjust based on the evidence.

Why do we need separate sending domains?

So that any reputation problem from cold outreach cannot affect the domain your company uses for customers, invoices and everyday email. See our guide to email authentication.

How long does a new setup take before campaigns can run?

Configuration is usually quick. New domains and mailboxes then need a gradual ramp-up before sending at full volume. We give you a schedule based on your platform and target volume.

Is cold email legal?

Rules vary by country and by whether you are contacting businesses or individuals. We follow sensible practice — relevant B2B contacts, clear sender identity and easy opt-out — but we are not lawyers. Take legal advice for your specific markets.

GoHighLevel, CRM and automation

Do we have to use GoHighLevel?

No. GoHighLevel is one of the platforms we work with. If you already use another CRM, we start from there and only suggest a change if it would really help.

Are you a HighLevel partner?

No. HighNode Digital is an independent agency and is not affiliated with or endorsed by HighLevel Inc.

Which automation tool do you use?

Native CRM workflows first. For connecting tools we use Zapier, Make or n8n, choosing the one that fits your volume, budget and team. See the Technology page.

Will you document what you build?

Yes. You receive a plain-language description of each workflow and setup so your team can maintain it without us.

Bookkeeping and QuickBooks

Are you an accounting or tax firm?

No. We provide bookkeeping and QuickBooks® Online setup. We do not file tax returns, give tax advice, prepare audited accounts or run payroll, and we work alongside your accountant. See Bookkeeping.

Which accounting software do you use?

QuickBooks Online. We do not work in QuickBooks Desktop. If you use another platform, ask us first and we will tell you honestly whether we can help.

Are you a QuickBooks partner or ProAdvisor?

No. HighNode Digital is independent and is not affiliated with or endorsed by Intuit. Intuit and QuickBooks are trademarks of Intuit Inc., registered in the US and other countries.

Access, data and security

What access will you need?

Usually DNS access for your sending domains, access to your sending platform, and access to your CRM if it is in scope. We list exactly what is needed before we start.

How do you handle logins?

We ask for our own user accounts with the minimum permissions needed, rather than shared passwords, so access can be removed at any time.

Who owns the accounts and data?

You do. Domains, mailboxes, CRM accounts, lists and data stay in your name and your accounts.
