Outbound engine

When teams bring us in

Running outbound well is steady operational work. It suffers quickly when it is squeezed in between other priorities.

  • Campaigns were launched but nobody owns them week to week
  • Replies sit unanswered in a sending platform instead of reaching sales
  • You are not sure which segments or messages are actually producing conversations
  • You want outbound running without hiring a full-time specialist yet

Deliverables

What management includes

Scope is agreed in writing before work starts. You can take the whole list or only the parts you need.

  • Campaign planSegments, messaging angles and sending capacity mapped out before anything is launched.
  • Sequence buildSteps, timing, follow-ups and stop rules configured in your sending platform.
  • Copy supportDrafting and editing of email copy and personalisation fields, with your approval before it is sent.
  • Sending settingsSchedules, time zones, daily limits and mailbox rotation configured and kept within safe ranges.
  • Reply handlingReplies categorised and routed to the right person or CRM stage so interested prospects are not missed.
  • Weekly reviewVolume, bounces, replies and positive replies by campaign, with the changes we plan to make next.

Process

A typical cycle

You get a short update at each stage: what was done, what we found and what happens next.

  1. Prepare

Check infrastructure health and list quality before launch. A campaign is only as good as both.

  2. Launch

Start with modest volume per segment and confirm tracking, stop rules and reply routing work.

  3. Manage

Monitor daily, handle replies, pause anything that shows warning signs.

  4. Improve

Adjust segments, copy and timing based on what the replies tell us, not on vanity metrics.

Tools

Platforms we use for this work

Green tags are tools we have used hands-on. The rest are platforms we support when they are already part of your stack. Listing a tool does not imply a partnership.

RocketReach and ContactOut support list building, and GoHighLevel receives replies for follow-up. Mailchimp and Klaviyo are used only for contacts who opt in, never for cold sends.

How we run campaigns. We only send to verified, relevant business contacts, include a clear way to opt out, and respect opt-outs immediately. We will tell you if we think a list, offer or market is not a good fit for cold email. Results depend on your market and offer, so we report what happens rather than promise a number of meetings.

Questions

Common questions

More answers about access, timelines and how engagements work. All FAQs

Do you write the emails?

We can draft and refine the copy, or work with copy you already have. Nothing is sent without your approval, and you always own the content.

Which sending platform should we use?

If you already use Instantly, Smartlead or Manyreach, we work in that account. If you are starting fresh, we recommend one based on your volume, team and budget, and explain why.

Who replies to interested prospects?

Usually your team, because they know the offer best. We make sure every reply reaches the right person quickly, either by notification or by creating a deal in your CRM.

Is cold email legal in the UK, EU and Australia?

Rules differ by country and by whether the recipient is a business or an individual. We follow sensible practice — relevant B2B contacts, clear sender identity and easy opt-out — but we are not lawyers, and for your specific situation you should take legal advice.
